The Listing Coordination Checklist Every Agent Should Have
A well-run listing doesn't happen by accident. It happens because someone is following a system. Here's what that system looks like.

Table of Contents
Every listing should follow the same process. Not roughly the same process, exactly the same process, with every step documented and tracked.
If that's not how your listings work right now, you're relying on memory and habit. And memory and habit eventually fail.
The Core Phases of Listing Coordination
Pre-Listing Phase
Before a listing goes live, there's a significant amount of work to coordinate. Photography needs to be scheduled. Staging needs to be confirmed. Disclosures need to be prepared. The MLS entry needs to be drafted and reviewed.
Each of these has dependencies. Photography can't happen until the house is ready. MLS entry can't go live until photography is delivered. A checklist that captures these dependencies, and assigns responsibility for each — is what keeps a listing from getting delayed.
Active Listing Phase
Once a listing is live, coordination doesn't stop. Showing feedback needs to be collected and relayed. Price adjustments may need to be executed. Open houses need to be set up. Marketing needs to be kept current.
Without a system, these things get done inconsistently. Some agents do them well. Most let things slip.
Under Contract Phase
This is where listings most often fall apart. The inspection is scheduled. Repair requests come in. Appraisal needs to be coordinated. Title is working through their process. There are often 15 to 20 moving parts in this phase alone.
A transaction coordinator without a documented system is still flying by the seat of their pants. The system is what makes the coordinator effective.
What a Real Checklist Looks Like
A real listing checklist isn't a generic template you found online. It's a document built around how your specific business operates, your vendors, your timelines, your communication preferences.
It includes every action item, the responsible party, the deadline, and the status. It lives in a place that everyone involved can access. And it gets updated in real time.
That's the standard. Most agents are far from it. But it's achievable.
